Executive Business Administrator


 
We are looking for an experienced Executive Business Administrator to support the HR General Manager, Small, Medium, and Corporate Sales and the Senior HR Director, Sales Enablement & Operations. The ideal candidate should be proactive, trustworthy, and have proven business acumen, attention to detail, as well as the ability to prioritize their workload. This position will provide executive-level support and work closely with key stakeholders to support the strategy of the wider business.

Responsibilities


  • Provides highly strategic calendar management (e.g., high profile, high risk, large-scale impact) based on deep knowledge of business and executive needs, while upholding the highest degree of integrity and maintaining confidentiality. Uses discretion to make independent decisions to prioritize critical meetings and urgent escalations, while balancing the overall rhythm of business (ROB).
  • Proactively adapts to shifting priorities while representing senior leader and sets an example for less experienced colleagues in making judgment calls and prioritizing competing demands.
  • Manages events and provides strategic oversight into event vision and outcomes, while maintaining fiscal responsibility and demonstrating executive presence.
  • Serves as a liaison between executives and teams and continues to build and leverage networks across organizations to enable their team and leader's work.
  • Provides leadership within the discipline and participates in the Business Support community.
  • Oversees expense management across SMC HR and E&O HR teams.
  • Partners with finance at a high level on all aspects of budgets, headcount, and policies, including assisting with annual budget planning by consolidating team requests and prioritizing funding.
  • Creates, builds, and manages annual rhythm of business (ROB) with executive leader(s) and Business Manager, including fiscal-year calendar and executive meeting schedule.
  • Prepares team for ROB cadence and helps to manage workloads across multiple ROBs/orchestration across multiple ROBs.
  • Coordinate travel arrangements (e.g., accommodations, transportation, security) for leaders as requested. Creates detailed itineraries/agendas for daily activities by setting and managing travel expectations to maximize trip productivity.
  • Manages and oversees all travel logistics and creates guidelines for visits to ensure the leader is prepared.
  • Remains calm while managing situations that are complex, ambiguous, and high-risk.
  • Leads by example and serves as a role model to Business Support colleagues by maintaining a professional attitude, demonstrating executive presence, influencing others, and encouraging self-reflection during adversity.

Qualifications

Minimum Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management

Preferred Qualifications

  • A degree-qualified (or equivalent work experience) candidate in business studies, administration or communications would be advantageous but is not essential.
  • Experienced with making effective use of cross company resources through team working and networking.
  • Proven interpersonal skills, diplomacy, and ability to handle conflict and ambiguity well.
  • Excellent planning and organizational skills.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $27.40 - $46.49 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $37.84 - $52.98 per hour.
